"Do I really need to put an HSN code on every invoice? My software just fills in something random." If that question sounds familiar, you are not alone. The Harmonised System of Nomenclature (HSN) code is one of the most ignored fields on a GST invoice — until a mismatch in your GSTR-1 triggers a query from the department or a buyer refuses to accept your invoice.

Let's clear up the confusion.

What the HSN Rule Actually Says

HSN codes classify goods, while SAC (Service Accounting Codes) classify services. Under the GST framework, the number of digits you must quote depends on your aggregate turnover in the preceding financial year.

As a general rule that applies to most taxpayers today:

  • If your aggregate turnover in the previous year was up to Rs 5 crore, you must report at least a 4-digit HSN code.
  • If your turnover was above Rs 5 crore, you must report a 6-digit HSN code.

These codes are mandatory on tax invoices and must also be summarised in Table 12 of GSTR-1. Many businesses fill the invoice correctly but leave Table 12 inconsistent — and that mismatch is exactly what the system now flags.

A Quick Example

Suppose Ramesh runs a stationery wholesale business in Pune with a turnover of Rs 3 crore. He sells notebooks classified under HSN 4820. On his invoices he must show at least "4820" (4 digits). If his neighbour Sunita has a turnover of Rs 8 crore selling the same goods, she must show the full 6-digit code, say "482020". Reporting only "48" would be non-compliant for both.

Practical Tips to Get HSN Right

1. Lock the code to the product, not the invoice. Create a master list of every item you sell with its correct HSN and the applicable tax rate. Map it once in your billing software so staff cannot type a guess each time.

2. Reconcile Table 12 with your sales register every month. Before filing GSTR-1, check that the total taxable value and tax under each HSN in Table 12 matches your actual outward supplies. The portal now validates this summary more strictly.

3. Verify the rate follows the code. A wrong HSN often drags in the wrong GST rate. If you classify a 12% item under an 18% code, you have collected and possibly paid excess tax — a headache to correct later through credit notes or amendments.

4. Re-check your turnover slab every April. Your HSN digit requirement can change once your previous year's turnover crosses Rs 5 crore. Update your invoice templates at the start of each financial year so you don't fall short.

A Common FAQ

"I'm a small trader below the threshold. Can I skip HSN completely?" No. The relaxation is only on the number of digits — not on whether you report at all. Even small taxpayers are generally expected to quote at least a 4-digit HSN on B2B invoices and report it in Table 12. Treating the field as optional is where most notices begin.

What NOT to Do

  • Don't let your accounting software auto-pick an HSN without verifying it against the actual product. "Closest match" is not the same as "correct match."
  • Don't use a 2-digit code assuming it is enough — the minimum for most businesses is now 4 digits.
  • Don't ignore Table 12 mismatches. If your invoice shows one HSN and your GSTR-1 summary shows another, expect a system alert or a buyer complaint about input tax credit.
  • Don't classify a product under a lower-rate HSN to save tax. Misclassification is treated as short payment and can attract interest and penalty under the relevant provisions.
